Privacy Policy — Smart HR

Smart HR ("the App", "we", "us") is a workplace human-resources application provided by UknowTechno. This policy explains what data the App collects, why, and your rights. Smart HR is a business-to-business app: your employer creates your account and workspace, and acts as the controller of your employment data.

Information we collect

We collect only what the App needs to work:

Account & profile: name, email address, user ID, role, department, and phone number (if provided).
Attendance & location: your GPS location at the moment you check in or out for attendance. Location is not tracked in the background and is not collected at any other time.
HR & payroll records: leave requests, work logs, tasks, training, salary, salary-advance and loan requests, expense claims and payslips — created by you or your employer.
Messages & media: company chat messages, voice messages you record and send, and photos or files you upload (such as a profile photo or an expense receipt).
Device & diagnostics: app-interaction data, crash logs, diagnostics and device identifiers, used to keep the App stable and secure.

How we use your information

To provide core HR features: attendance, leave, payroll, expenses, tasks, training, recognition and chat.
To authenticate you (including PIN and biometric unlock) and keep each company's data private.
To operate the in-app AI assistant: when you ask the assistant a question, your message is sent to our AI provider (DeepSeek) solely to generate a response. We do not use your messages to train models.
To diagnose crashes and improve reliability and security.

Camera, microphone and NFC

Camera is used only when you choose to check in by scanning a QR code.
Microphone is used only when you tap to record a voice message in company chat.
NFC is used only when you choose to check in by tapping an NFC tag.

These are optional and only activate when you start them. We do not access them in the background.

How your information is shared

We do not sell your data or share it for advertising. We do not use advertising identifiers. We use trusted service providers who process data on our behalf, under contract, only to run the App:

Supabase — secure database, authentication and storage.
Cloudinary — image and media hosting.
DeepSeek — AI assistant responses.
Sentry — crash and error reporting, so we can find and fix bugs. Sensitive fields (salary, pay, bank, medical, notes and similar) are automatically redacted before a crash report ever leaves your device, and no name, email or phone number is attached to a report.

We may disclose information if required by law, or to protect the rights and safety of users.

Data security & retention

All data is encrypted in transit (HTTPS/TLS). Each company's data is logically isolated so one company cannot access another's. We retain your data for as long as your account is active or as your employer requires for HR record-keeping, and then delete or anonymise it.

Your rights & data deletion

You can access and update your profile in the App. You can delete your account and associated data in-app at Settings → Account → Delete account, or by using the account deletion section below, or by emailing us at Pjeycw@gmail.com. You may also request a copy (export) of your data from within the App.

Children

Smart HR is a workplace app intended for people aged 18 and over. It is not directed at children and we do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.

Delete Your Account — Smart HR

Smart HR ("the App") is provided by UknowTechno. This section explains how to delete your account and the data associated with it.

Option 1 — Delete in the app (fastest)

Open Smart HR and sign in.
Go to Settings → Account → Delete account.
Confirm the deletion.

Option 2 — Request deletion without the app

If you no longer have access to the app, or signed in via a company that has since removed your access, email us your request and we will delete your account within a reasonable time:

What gets deleted

Deleting your account removes your profile, attendance history, leave requests, payroll and expense records tied to your personal account, and your company chat messages, within our systems.

What may be retained

Where your employer is legally required to retain certain employment or payroll records for a period after your account is deleted (for example, tax or labor-law record-keeping), those specific records may be retained by your employer for that required period, separate from your personal account and login access.
